The price of a clinic ERP depends on three variables: functional scope, hosting model and migration of existing data. Here is how to estimate them before requesting a quote.

The cost of a clinic ERP is built from three variables: the number of domains covered, the choice between an online subscription and installation on your own premises, and the volume of data to migrate. A single module installed on site costs a fraction of a complete platform, and the budget is steered by sequencing the increments.

Why can nobody quote you a price over the phone?

Because "clinic software" does not mean the same thing from one establishment to the next. A clinic that only wants to manage appointments and a clinic that wants to link admissions, pharmacy, payroll and teleconsultation are not talking about the same project.

A supplier's first serious task is therefore to write down what the software will and will not do. Without that scoping, any figure quoted is a fiction.

What are the real cost items?

Functional scope. This is the dominant item. Each domain — patient records, scheduling, pharmacy, human resources, accounting, patient portal — represents a set of screens, rules and controls.

Data migration. Recovering years of spreadsheets and exports from a previous system requires cleaning and verification work. It is the item systematically forgotten in early estimates.

Interfaces. Biometric time clock, barcode reader, imaging equipment, mail: every connection to existing equipment is a project in its own right.

Hosting. An online subscription spreads the spending but never stops. Installation on your premises requires an initial hardware investment, then costs very little.

Training and maintenance. Software nobody knows how to use produces no value.

Over a horizon of a few years, on-site installation generally becomes cheaper than a per-user subscription. In exchange, it requires accepting an investment at the outset.

How can you bring the bill down without degrading the result?

Sequence it. Start with the domain that wastes the most of your time today, put it into production, and fund the rest from the time recovered. It is also the best protection against projects that never finish.

Reject quotes that do not spell out what is excluded. A serious quote lists what it leaves out.

What questions should you put to your supplier?

Who owns the code and the database at the end? What happens if we change supplier? Can the data stay inside the establishment? What does adding a user cost? What exactly does maintenance cover?

The answers to those five questions will tell you more than the figure at the bottom of the quote.
