Linking a biometric time clock to payroll software turns an attendance record into a salary calculation without re-keying. The chain works on one condition: that the rules on lateness, absence and overtime are written down and configured before go-live, not argued about afterwards.

How does the chain work?

The time clock records entries and exits. The software collects them at regular intervals and matches them against each employee's schedule. From that it derives lateness, absence and overtime according to the configured rules, then feeds the payroll calculation directly.

No stage requires manual entry. That is precisely what makes transcription errors disappear.

These rules are not technical, they are managerial. The software merely applies them without exception, which is exactly the point.

What about the special cases?

There will always be some: a medical appointment, an emergency call-out, a forgotten badge. The system must therefore provide a justification route with line-manager approval, and keep a record of it.

A system that admits no exceptions is worked around within weeks. A system that records them stays credible.

What precautions apply to biometric data?

A fingerprint is a particularly sensitive piece of personal data: unlike a password, it cannot be changed.

Three minimum precautions: inform employees of the purpose and the retention period, store the biometric template locally rather than on an external service, and restrict access to those who genuinely need it.

The attendance-to-payroll link must stay legible: an employee must be able to understand how their salary was calculated.

What does it change in practice?

The month end stops being a project. Lateness is no longer argued over, it is recorded. And the time management spent reconciling records goes back into running the establishment.
