Digitising a dental practice in Algeria: from the paper file to the ERP

Moving from the paper file to software does not happen in one go. Here is the order to work in, so that each stage funds the next.

Digitising a dental practice succeeds when it starts with the point that wastes the most time, not with the most impressive module. In most practices, that point is the attendance-payroll-practitioner pay chain, followed by consumables tracking.

Where should you start?

With whatever costs you hours every month. In a dental practice that is rarely the patient record — which practitioners often manage perfectly well on paper — but the month end: gathering attendance, calculating percentage-based pay, checking the consumables used.

Starting there has a decisive advantage: the gain is immediate and measurable, which makes the next stage easy to fund and easy to get accepted.

What should you do with the existing paper files?

Do not key them all in. Migrating a complete paper history costs a great deal and is almost never used.

The pragmatic rule: enter active patients as they come in for their next visit, and digitise the history only where a specific use justifies it. Dormant files can stay in physical storage.

Why does the time clock change so much?

Because it removes the argument. As long as attendance is noted by hand, every instance of lateness becomes a month-end negotiation. A biometric time clock linked to the software produces a record nobody disputes, and payroll follows from it automatically.

The gain is not only time: it is the disappearance of a recurring source of tension in the team.

What makes these projects fail?

Trying to deliver everything at once. A project that produces nothing for six months loses the team's support before it finishes.

Not appointing an internal owner. Somebody at the practice has to settle the configuration questions. Without that person, the supplier decides in your place, and decides badly.

Neglecting training. An assistant who does not understand a screen goes back to their notebook, and the software becomes double entry.

Accepting that the data goes elsewhere. A patient record is sensitive data. Insist on knowing where it is stored, and whether the AI features call an external service.
